This policy explains how A World Academy collects, uses and protects your personal data. We are committed to protecting the privacy of students and families. Last updated June 2026.

1. Who we are

A World Academy is the data controller for the personal data described here. You can contact us at info@aworldacademy.com or A World Academy, 555–557 Cranbrook Road, Gants Hill, Ilford, Essex IG2 6HE, United Kingdom.

2. Information we collect

We collect: student details (name, date of birth, gender, school, country/city, email); parent/guardian details (name, relationship, email, phone); booking and programme selections; consents; medical, dietary and accessibility information you choose to share; and documents you upload (passport copy, photo, dietary/medical form). Payments are handled by Stripe — we receive confirmation of payment status but do not store full card numbers.

3. How we use your data & lawful basis

We use your data to process and administer your booking (performance of a contract), to safeguard students and meet our legal and welfare obligations (legal obligation and legitimate interests), and — only where you have opted in — to send you newsletters and updates (consent). We may also contact you about your booking via email, phone, SMS or WhatsApp where you have agreed.

4. Marketing & newsletter

We only send marketing communications where you have given consent. You can withdraw consent and unsubscribe at any time using the link in our emails or by contacting us. Withdrawing marketing consent does not affect emails we must send about your booking.

5. Who we share it with

We share data only with trusted processors who help us deliver the service — for example Stripe (payments), our email provider (transactional and, where consented, marketing email) and our secure document-storage provider. We never sell your data. We may disclose information where required by law or to protect a student’s safety.

6. International transfers

As we operate programmes internationally, some data may be processed outside your home country. Where data is transferred, we take steps to ensure it is protected by appropriate safeguards.

7. How long we keep it

We retain booking and safeguarding records for as long as necessary to fulfil the purposes above and to meet legal and insurance requirements, after which it is securely deleted. Uploaded documents are retained only for the duration needed to deliver and administer the programme.

8. Security

Personal data and uploaded documents are stored securely with access restricted to authorised staff. While we take reasonable measures to protect your data, no method of transmission over the internet is completely secure.

9. Your rights

Under UK data-protection law you have the right to access, correct, delete or restrict the use of your personal data, to object to certain processing, and to data portability. To exercise any right, contact info@aworldacademy.com. You also have the right to complain to the UK Information Commissioner’s Office (ICO).

10. Cookies

Our website uses essential cookies to function and may use analytics cookies to understand how the site is used. You can control cookies through your browser settings.

11. Children's data

Because our students are minors, bookings are made by a parent or legal guardian, who provides the necessary consents on the student’s behalf. We handle children’s data with particular care.
